The Koolxpress Seller Channel model allows the Seller take control of Uploading, Processing and Delivering orders to customers. All the Seller has to do is Register, List, Sell, Fulfill orders and Get Paid.

How to Register

• Log on to www.koolxpress.com
• Click Sell on Koolxpress at the top of the screen header or go straight to koolxpress.com/vendor- register
• Existing Vendor? Click “Vendor Login”. You would be redirected to login page. Enter your registered email, password and click “Login”.
• New Vendor? Click “Vendor Register”. You would be redirected to registration page. Enter your registered email, password and click “Register”. You would be directed to fill in your personal details on the vendor application page. Fill and click “Register”
• An email acknowledgement would be sent to you.
• We would review your application before activating it.
• If your application is accepted, your account would be activated within 24 hours.
• Once your account is activated you can login, setup your profile and start uploading your products.

Forgot your password? Not to worry

  • Below the Password field, Click “Lost Password?”.
  • “Reset Password”form page would appear. Enter your registered email and click the Reset button
  • Change passwordlink will be sent to you.
  • Click on link provided to successfully change your password.

Profile Setting

  • Click on Settings, and Store setting page would appear.
  • Fill in or update all Basic Details which include Store Name, Business Address, City, State, Country, Phone Number and Email Address. Also upload Store Logo and Store List Banner.
  • Click on “Save” when all fields are completed.


  • The Store Slug is auto-generated with your Store Name.

Setting Up Your Bank Details

  • Click on Settings

  • Click on Settings
  • Select Payment
  • Fill in your bank details.
  • Click on “Save”.

  • Click on “Product”. List of any existing product page will display.
  • Click “Add New” to start uploading your product.
  • Product Title- Give your Product a catchy title e.g. Fireman Generator EC08990ES
  • Upload Product Image: Upload featured image (the main image) and additional images of the product to be sold.
  • Price and Sale Price: Enter the Price (e.g 215000, which must be higher than the Selling Price), and Sale Price (e.g 206900, which is the actual price you intend to sell, and must be lower than the Price).
  • Category: Choose the Product’s category, Sub Category and Sub-Sub category your product falls under e.g. Category: Fashion, Sub Category: Men’s Fashion, Sub-Sub Category: Men’s Shoes.
  • Short Description: Use this to give brief highlights about your product (e.g Chest Freezer, Key Features: Capacity: 100 Litres, High Efficiency Compressor, Adjustable Thermostat, 100% HFC free & FCKW Free, Easy to clean interior).
  • Description: The product should be well described with accurate and precise details that would help the customer know much more about it. It should contain unique selling point. The description can also be represented in Bullet points.
  • Tags: Add relevant tags in order to make your product visible in the search result.
  • Select “Product Type” and start filling product details. Default product type is “Simple
  • Inventory: click on a product, scroll to Inventory section, enter SKU (Stock Keeping Unit) and Manage Stock > Stock Qty: Enter stock
  • Shipping: On each of your product page, enter accurate Weight (kg), Length (cm), Width (cm) and Height (cm) of your product. Ensure to enter the appropriate weight of the product. Weight is in Kilograms (kg).
  • Shipping Class: Ensure you choose your “Shipping Class”. For example, if your product would be shipped from Lagos, choose “Lagos Shipment” in the drop down list. That would enable accurate calculation of shipping fee based on the shipping destination of your customers.
  • Attributes:  Enter some attributes like name, values, color and checked if you want to make it visible of the product page.
  • Linked Products: You can link other products to your product, by either selecting Up-sells or Cross-sells
  • Click on “SUBMIT FOR REVIEW” if your product details are complete. If not complete, click “DRAFT”.


Tips For Product Upload

  • Product Title: Every word should start with a CAPITAL letter. Example: AfricanNative Blue  Shirt
  • Shipping Weight and Dimension – This is entered in kilograms (kg) and used to calculate the shipping charge customers would pay. Ensure it is accurate.
  • Images – Product images should be on a white background with a size of 670×414 pixels



Processing Orders

To start processing your orders, follow the steps below:

  • Click on the “Orders”tab on your dashboard to view your orders.
  • Confirm item(s) ordered by customer(s)
  • Pick and Pack Items ordered by customer(s).
  • Label Packed Order(s) with Customer Shipping Details clearly displayed.
  • Drop-off order at a Delivery Partner location. Order must be dropped off with a Koolxpress invoice attached to it.


  • Pay shipping fee once Delivery Partner agent verifies shipment details (weight, size, item etc.). Note: Your shipping fee would be refunded to you alongside your product amount once the product is successfully delivered to customer without rejection. That applies if the customer prepaid online for the product. If the customer pays on delivery, he would bear the shipping fee. If he reject the item because it is defective, you would bear both shipping fees.
  • Remember to collect an acknowledged Manifest from the Delivery Partner.
  • Ask for information on how to track the shipment/order and confirm delivery.
  • Update order status as “On Hold”on your dashboard

  • Track Shipment / Confirm delivery
  • Once confirmed, Update order status as “Completed”on your dashboard

NOTE: Payment to vendor is only made on updated “Completed” orders!


Managing My Orders

Manage Orders

  • Click on the “ORDERS”tab on your dashboard to view your orders.
  • Order Status– This determines the status of your orders. Orders move from Processing, On Hold/Cancelled to Completed.
  • Download Invoice and Packaging Slip– You can easily download a copy of your order Invoice and Packaging Slip

Updating an Order as Completed

  • Update Status– Click on Completed for orders that have been shipped out
  • Click on Update


Request Withdrawal: Once orders are delivered and verified, payments are credited into Vendor Wallet. Vendor can request the payment after 5 days of the return period is over (that is, from the 6th day after product successful order delivery).

  • Click on “Withdraw” on your dashboard. Withdraw Page will display
  • Enter the amount to withdraw in “Withdraw Amount”, choose the “Payment Method” and click “Submit Request”.

Other Conditions For Payments

  • Vendor account is credited 6 daysafter an item has been delivered. Withdraw request can be made at any time after 6 day from the Vendor Dashboard.
  • Payments requested from the Vendor Dashboard are processed and paid to Vendor account not later than 2 working daysafter request has been made.
  • In cases were Vendors have erroneously notified Koolxpress that orders were fulfilled without actually delivering or serving such orders, Koolxpress has the right to withhold or deduct such payments from the
  • If your payment has been delayed (past 3 working days from request date), kindly send an email with the Transaction ID of such payments to hello@koolxpress.com.

At Koolxpress, we treat Customer feedback is very important, we encourage you to treat it as such.

Vendors with very good ratings and feedbacks sell 10x more than others. That’s because customers are more comfortable purchasing from stores which has high rating from previous customers.

Inquiry Board

Accepted use of Message Board

The following guidelines have been put in place to discourage the abuse of this medium.

Accepted Use:

  • Buyers and Vendors are allowed to communicate regarding products/services purchased on Koolxpress (like enquiry or request about status of order, how to use a product/service, initiate a return and any other related issue).
  • Vendors are to respond to messages within 24hrs from date received.
  • Escalation: Any customer enquiry or request that is not responded within 24 hrs, can be escalated. Once a messages is escalated, it would require immediate mediation from Koolxpress Support Center.
  • All responses to messages initiated on the Koolxpress Message Board must be continued and completed there. Such would ensure Koolxpress Support Center to always offer support where it is needed. Hence our Support Center render any assistance on any decision reached on any other message platform.
Unaccepted use of Message Board

The following guidelines have been put in place to discourage the abuse of this medium.

Unaccepted Use:

  • Koolxpress Message Board is not a platform for upselling or unauthorized marketing discussion.
  • Soliciting for login details of someone else’s account is unacceptable.
  • You are not permitted to post content that: is hate speech, threatening, or pornographic; incites violence; or contains nudity or graphic or gratuitous violence.
  • You are not permitted to use the Message Board to do anything unlawful, misleading, malicious, or discriminatory.
  • This is not a channel for Koolxpress Support.
  • This is not a channel for requests cancellation.
  • You must not requests for Vendor or customer contact information. All information needed about a Vendor or customer has been provided on Vendor’s dashboard and customer’s invoice respectively.
  • You are not permitted to use vulgar, disrespectful language or any inappropriate content, as every customer/Vendor should be treated with respect.


* Violation of any of the above rules may lead to removal of content, deactivation of account or suspension  as the case may be.

Suspension Policy

To ensure a smooth and fair customer experience on Koolxpress.com, there are conditions that may cause a Vendor to be suspended from the website. Please ensure you avoid any of the following conditions that may cause you as a Vendor from being suspended from selling of the website.

  • Frequent cancellation of orders
  • Sales of expired products
  • Sales of counterfeit products
  • Failure to serve customers
  • Selling the same item(s) on multiple Vendor accounts
  • False delivery updates
  • Failure to accept valid returns


Terms Of Use

You retain your rights to any Content you submit, post or display on Koolxpress.com. By submitting, posting or displaying Content on or through Koolxpress.com, you grant us a non-exclusive, royalty-free license (with the right to sublicense) to use, copy, reproduce, process, adapt, modify, publish, transmit, display and distribute such content in any and all media or distribution methods (now known or later developed).

You agree to comply with Koolxpress.com Terms of Use with regard to uploading, posting and sharing the photos on the Site.

In particular, images you upload, post or share on the Koolxpress.com shall not:

  • relate to sale of products that infringe copyright, patent, trademarks of publicity or privacy, of any other Third Party Rights;
  • violate any applicable law, statute, ordinance or regulation (including without limitation those governing, consumer protection, unfair competition, export control, anti-discrimination or false advertising);
  • be defamatory, libelous, unlawfully threatening or unlawfully harassing; be obscene or contain or infer any pornography or sex-related merchandising or any other content or otherwise promotes sexually explicit materials or is otherwise harmful to minors; promote discrimination based on race, sex, religion, nationality, disability, sexual orientation or age; contain any material that constitutes unauthorized advertising or harassment (including but not limited to spamming), invades anyone’s privacy or encourages conduct that would constitute a criminal offence, give rise to civil liability, or otherwise violate any law or regulation;
  • contain any computer viruses or other destructive devices and codes that have the effect of damaging, interfering with, intercepting or expropriating any software or hardware system, data or personal information; link directly or indirectly to or include descriptions of goods or services or other materials that violate any law or regulation or are prohibited under the Terms of Use;
  • violate any provision in the Product Listing Policy; otherwise create any liability for Koolxpress.com or its Partners.

Koolxpress charges reasonable percentage and fixed amount. Ensure you set your products price based on commission attached to their different categories.

For example, if your initial sale price for a product is N1,000, and the commission percentage attached to it category is 5%, your price would be: N1000 X 0.05 =N50 (the commission)were 0.05 is equivalent to 5% (for ease of calculation). Or if the percentage is 12%, your calculation would be N1000 x 0.12 = N120 (the commission).

Add the N120 commission to N1,000 which equals N1,120.

Fixed Amount: Add fix amount of N200 to N1,120 (Original Price + Commission) which equals N1320.

Discounted Price: Ensure your final price reflect the above calculation- that is addition of commission % and fixed amount to your initial sales price.  

When that is done, enter your final price as  “Sale Price”  

Coupon Discount: Koolxpress runs discount coupon promo on some selected products drive substantial sales. If you want to offer discount on your product, then you must add Discount Offer % associated with your product category in your calculation, and then notify the admin. For example to run a 15% Discount Promo Coupon on your product, multiply 15% with your already calculated price (Discounted Price) Example: 0.15 x N1, 320 = N198. Add the answer (the discount amount) to the Discounted Price. N198+N1320 = N1518. The answer you get (N1518), is the accepted Discounted Price to run the 15% Discount Promo Coupon.

Enter the amount in “Sale Price”. 

During checkout, a customer would apply the 15% coupon code and the price would be slashed from N1,518 to N1,320 which was the previous price. That takes care of the discount offer

When your product is sold, the Commission + Fixed amount above would be deducted before the rest is remitted to you. In that case if your initial product price was N1,000, that amount would be remitted to you,  while N320 is reserved as admin commission (with fixed service charge).  

N/B: Ensure to check % Commission and Coupon Discount attached to your product category before calculating your Discounted Price. This is to ensure you are working with current percentages allowed for a category; as changes could be made on them from time to time, with or without any notice to vendors.

Koolxpress provides a complete e-commerce fulfillment platform using a network of third-party courier services providers. You can locate them online,  or at  any of their branch office or drop off center nearest to your location.

While using any third party courier services providers, remember to adhere to the following procedure:

  • Label Packed Order(s) with Customer Shipping Details clearly displayed.
  • Drop-off order at a Courier Services Provider’s center. Order must be dropped off with a Koolxpress invoice attached to it.
  • Ask the Courier Services Agent their current shipping fee. Be sure the fee doesn’t exceed koolxpress Shipment Fee Rate listed below. If it does, choose another reliable courier services provider with a moderate shipping fee.
  • Pay shipping fee once Courier Services Agent verifies shipment details (weight, size, item etc.). Note: Your shipping fee would be refunded to you alongside your product amount once the product is successfully delivered to customer without rejection. That’s applies if the customer prepaid online for the product. If the customer pays on delivery, he would bear the shipping fee. If he reject the item because it defective, you would bear both shipping fees.
  • Remember to collect an acknowledged Manifest from the Delivery Partner.
  • Ask for information on how to track the shipment/order and confirm delivery.
